BACKGROUND
Background
Microsoft Office suite is one of the core suite of applications used by entire County. The suite of product includes Microsoft Outlook, Word, Excel, PowerPoint, Access, Teams, Share Point and several other utility applications. We have been using the Office 365 cloud suite now for six (6) years and have realized several key benefits. The Enterprise Agreement includes all the required on-premise Server software used Countywide. Licenses include but not limited to: Windows desktop Operating System at $57.99 user/year, Office 365 at $216.22 user/year, Windows Server access licenses at $18.38 user/year, and other enterprise server and access licenses.
Some of the key benefits we have realized over these years include:
Ability to provision Disaster Recovery in the Azure cloud
SharePoint Online and OneDrive for seamless collaboration and Secured File sharing.
Discounted pricing for incremental licenses as needed
Access to all critical Production Servers on-premise including Windows Server, SQL Server etc
Staying current with the latest versions of Microsoft software
Access to Office for iPad
Cloud based document storage
Web based and Desktop Video conferencing using Teams
Access to Office applications from anywhere
Up to five (5) personal use licenses for each staff member.

REQUESTED ACTION
Requested Action
Approve renewal of the Microsoft Enterprise Agreement from SHI, in substantial form, (pricing, terms and conditions based on NC State contract 208C), in an annual amount of $1,048,490.67 per year for three (3) years effective October 1, 2021 for a total cost of $3,145,472.01 . Amount is budgeted in the FY 2021-22 Information Services budget.
