BACKGROUND
Background
In October 2018, the County Board of Commissioners approved a sole source contract with Pictometry International Corporation, 25 Methodist Hill Drive, Rochester, NY, which established the pricing for three(3) aerial photographic projects. At that time, the Board of Commissioners authorized funds to complete Project 1 at an amount not to exceed $457,251. The contract approved by the Board of Commissioners included a term stating that the agreement shall be in effect until October 31, 2024; however, the agenda item erroneously stated the agreement term ended in October 2020.

The vendor has now agreed to significantly reduce the pricing for Projects 2 and 3 set out in the contract. The new pricing would mean a savings of approximately $96,000 if the County chooses to undertake Projects 2 and 3. The vendor has extended the offer of reduced pricing on these additional projects until January 31, 2021. In order to take advantage of the lower pricing offered by the vendor it is necessary to amend the current contract to reflect the new pricing for Projects 2 and 3.

Note: Guilford County is not obligated under the amendment to undertake the additional projects; rather, this amendment allows the County to conduct Projects 2 and 3 at the lower price if the County chooses to do so at some future date. The amendment would reduce the pricing for projects 2 and 3 from $628,802 ($314,401 for each project) to $532,398.00 ($266,199 for each) which is a reduction of $96,404 for both projects. The current action does not call for a budget amendment as that will not be necessary unless, and until, the County chooses to undertake one or both projects in the future.
