BACKGROUND

background

Guilford County is recognized as a leader in the state for excellence in vaccine coordination, storage, and handling. To maintain these high standards and ensure continued compliance with best practices, the County utilizes the Accuvax vaccine monitoring and inventory management system. This agenda item requests the approval of an agreement for a five (5) year lease for the total cost of $309,300, with the first year of funding total $62,100. Year 2 through 5 will be $61,800 annually, this contract will be covered with Medicaid Cost Settlement and no additional county funds are required.

 

Accuvax provides precise, continuous temperature monitoring to safeguard vaccine integrity. The system automatically alerts designated emergency vaccine coordinators in the event of temperature fluctuations or power outages, allowing for immediate response and minimizing the risk of vaccine loss. In addition to environmental monitoring, Accuvax supports safe dispensing by helping ensure the correct vaccine is selected for each client and offers real-time inventory management capabilities.

 

The Accuvax system has replaced the County’s previous alarm-based monitoring service, providing a more comprehensive, technology-driven solution that enhances both storage oversight and administration safety. Its use aligns with industry best practices for vaccine management and quality assurance. The equipment is leased, with all maintenance, servicing, and replacement provided by the vendor. This leasing model ensures the County maintains access to updated technology and can transition from outdated equipment as advancements become available, without incurring significant capital replacement costs.

 

Public Health currently stocks 48 different vaccines some private stock purchased with county dollars and some state supplied.  Typically we stock approximately $700,000 of vaccine on hand at any given time.

 

In 2023 Public Health provided 12,151 vaccine doses, in 2024 11,784 vaccine doses and in 2025 11,299 vaccine doses.
