BACKGROUND
Background
UKG Kronos is the County’s core time keeping system and runs in the County’s on-premises data center. The current version of Kronos has an End of Engineering (EOE) date of December 31, 2025. After EOE, no production support will be provided. End of Life (EOL) is set for March 31, 2027. At EOL, the County's right to use Kronos will terminate. The successor time keeping system for Kronos is UKG PRO Workforce Management, a Software as a Service (SaaS) Cloud system. If the County contracts with UKG by June 28, 2024, UKG will guarantee our conversion prior to December 31, 2025. Since timekeeping is a critical part of the County Payroll process, the Manager’s recommended Budget includes funding for the upgrade in the Five-Year Technology Plan.
In addition, our current time clocks are also reaching end of life and must be replaced. These time clocks are installed in fifteen (15) locations across the County. Departments using these clocks include Law Enforcement, Emergency Services, Security, Animal Services, Public Health, Social Services, Juvenile Detention, and Facilities.
Staff propose entering into a three (3) year contract with UKG for UKG PRO Workforce Management annual SaaS fees, replacement of time clocks and associated annual maintenance, and implementation Services and User Adoption support. Total costs not to exceed $790,353, with the option to extend for renewals at the same pricing and terms and conditions upon mutual written agreement.
FY25 costs:
- Annual SaaS Fees $164,346
- Replace 22 Time clocks $85,519
- Annual Time clocks maintenance $6,270
- Implementation Services $190,335
- User Adoption Consultant $2,650
Total FY25 costs = $449,121
